This Privacy Policy describes how we - Onnet Consulting Sdn Bhd and its group of companies and affiliates, providers of the Pivotino product, collect, store, use and disclose personal data regarding individuals (“you”) who: (i) visit or otherwise interact with our websites (“Visitors”), available at www.pivotino.com, or any other website, webpage, e-mail, text message or online ad under our control (collectively - “material”); (ii) use our cloud-based visual work management platform ("Database" or "Instance"), via the Sites, or the pivotino.com desktop or mobile applications, addons or extensions (the “Users” or "Subscriber"; and together with the Sites - the “Service” or "Application").

Changes to this Privacy Policy

We reserves the right, at our discretion, to change, modify, add, or remove portions of this Privacy Policy at any time and without prior notice by posting a new version online. You should check this page occasionally to review any changes. This helps you to always be aware of what information we collect, how we use it and under what circumstances, if any, it is disclosed. Data Collected

When You Visit our Websites

You are free to explore the Websites without providing any Personal Information about yourself. When you visit the Websites we collect information such as your IP address, geographical location, browser type, referral source, length of visit and pages viewed.

Upon register for the Subscription Service, we request that you provide Information about yourself and your company.

When You Use our Mobile Application

Only upon usage, Our application will request permission to access the camera, photo album, or mobile storage to upload images or attachment to Pivotino.

Our Mobile Application does not collect or send any user information, any information collected takes place directly in the website or Pivotino instance.

Personal Information

This refers to any information that you voluntarily submit to us and that identifies you personally, including contact information, such as your name, e-mail address, company name, address, phone number, and other information about yourself or your business. Personal Information can also include information about any transactions, both free and paid, that you enter into on the Websites, and information about you that is available on the internet, such as from Facebook, LinkedIn, Twitter and Google, or publicly available information that we acquire from service providers.

Payment Information

Our third party payment providers collect and process payment information from you when you subscribe to the Pivotino Service this data is passe, including credit cards numbers and billing information, using third party PCI-compliant service providers. Except for this, we do not collect Sensitive Information from you.

Information About Children

The Websites are not intended for or targeted at children under 13, and we do not knowingly or intentionally collect information about children under 13. If you believe that we have collected information about a child under 13, please contact us at support@pivotino.com, so that we may delete the information.

We use the information we collect only in compliance with this Privacy Policy. Customers who subscribe to our Pivotino Services are obligated through our agreements with them to comply with this Privacy Policy.

We use Navigational Information to operate and improve the Websites and the Subscription Service. We may also use Navigational Information alone or in combination with Personal Information to provide you with personalized information about Pivotino CRM.

We post customer testimonials and comments on our Websites, which may contain Personal Information. We obtain each customer's consent via email prior to posting the customer's name and testimonial.

Use of Credit Card Information

We do note store any credit card information. We use a third-party service provider to manage credit card processing. This service provider is not permitted to store, retain, or use information you provide except for the sole purpose of credit card payment processing on our behalf.

We use a variety of security technologies and procedures to help protect your Personal Information from unauthorized access, use or disclosure. We secure the Personal Information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use or disclosure. Data Retention

Retention of Personal Information

We retain Personal Information that you provide us as long as we consider it potentially useful in contacting you about the Subscription Service or our other services, or as needed to comply with our legal obligations, resolve disputes and enforce our agreements, and then we securely delete the information. We will delete this information from the servers at an earlier date if you so request. If you provide information to our customers as part of their use of the Subscription Service, our customers decide how long to retain the personal information they collect from you. If a customer terminates its use of the Subscription Service, then we will provide customer with access to all information stored for the customer by the Subscription Service, including any Personal Information provided by you, for export by the customer according to our agreement with our customer. After termination, we may, unless legally prohibited, delete all customer information, including your Personal Information, from the Subscription Service.

International Transfer of Information

To facilitate our global operations, we may transfer and access Personal Information from around the world, including the United States. This Privacy Policy shall apply even if we transfer Personal Information to other countries.

Our application also includes a mailing service that may send out emails on your behalf; such as, but not limited to, invitations emails for co-works to join the Pivotino instance upon keying in their emails within the "Invite Colleagues" wizard.

We may send out marketing material to registered and potential users. This material could include Benefits, Tips on usage, Special promotions, visual material, or newsletters.

We collect data email information for potential customers from multiple sources such as, but not limited to:

  • Website Domain Ownerships

  • Social Media subscription accounts

To unsubscribe from our marketing emails

You may unsubscribe from our customer communications by clicking on the "unsubscribe" link located on the bottom of our e-mails, or by sending us email us at support@pivotino.com. Customers cannot opt out of receiving transactional emails related to their account with us or the Subscription Service.

To unsubscribe from our customer's emails

Our customers are solely responsible for their own marketing emails and other communications; we cannot unsubscribe you from their communications. You can unsubscribe from our customers' marketing communications by clicking on the "unsubscribe" link located on the bottom of their emails, or by contacting them directly.

Security
Sensitive Data

We do not store customers' financial information such as Credit Card numbers. All users must refrain from putting any sensitive information on the Pivotino Application. In case of any

Upon registration, the application will auto assign a generated password to your instance which is sent by email, Due to the email being commonly kept in the receiver's in-box, Users are encouraged to change the password once they gain access to the instance.

You are required to keep your password safe and should not share it with anyone. Pivotino support team will never ask you for your password. We will not be held liable for any unauthorized access to your instance or account.

Staff Access

Pivotino staff may sign into your account to access settings related to your support issue. For this they use their own special staff credentials, not your password.

This special staff access improves efficiency and security: they can immediately reproduce the problem you are seeing, you never need to share your password, and we can audit and control staff actions separately!

Our Helpdesk staff strives to respect your privacy as much as possible, and only access files and settings needed to diagnose and resolve your issue.

System Security

All Pivotino servers are running hardened Linux distributions with up-to-date security patches.

Installations are ad-hoc and minimal to limit the number of services that could contain vulnerabilities.

Only a few trusted Server support members have clearance to remotely manage the servers - and access is only possible using an encrypted personal SSH keypair.
